Course Work and Exam Retention
In late 2019 the University approved the following retention and disposal actions for completed course work, exams, and exam marks. These apply to courses in all academic departments. PACE, ELP, and the Collegiate are excluded at this time.
Course Work
This includes course work done by students as part of courses, laboratories, internships, and other program requirements.
Retention / Disposal Action
Once the mark for the course work has been posted to WebAdvisor, return the work to the student or retain for 8 weeks. Once 8 weeks have elapsed, destroy any course work that remains by shredding paper records and deleting electronic files.
In the case of course work subject to an academic appeal, a charge of academic misconduct, an access to information request, etc., all destruction is suspended.
Should an instructor wish to retain course work after the retention period elapses, such as in the case of exemplary work, they may do so with the consent of the student (if appropriate).
Completed Exams and Exam Marks
These can relate to any course, laboratory, or other program requirement.
Retention / Disposal Action
For exams, once the mark has been posted to WebAdvisor, retain the exam for 1 year as required by the UWinnipeg Calendar. Once 1 year has elapsed, destroy any exams that remain by shredding paper records and deleting electronic files.
For exam marks, once the marks have been submitted to WebAdvisor, retain for 1 year. Once 1 year has elapsed, destroy the marks by shredding paper records and deleting electronic files.
In the case of exams subject to an academic appeal, a charge of academic misconduct, an access to information request, etc., all destruction is suspended.
Should a course instructor wish to retain a completed exam after the retention period elapses, such as in the case of exemplary work, they may do so with the consent of the student (if appropriate).
