Apply as a Student Assistant in the Faculty of Graduate Studies

The Faculty of Graduate Studies (FGS) is seeking current graduate students to apply upcoming positions as student assistants in the FGS. There are two open Project Assistant positions and one work-study Communications Assistant position.

Project Assistant (Admissions Assistant)

The Faculty of Graduate Studies has received a surge of applications from Canada as well as from international students for its multi-disciplinary graduate programs. In order to provide excellent customer service to prospects and applicants with the goal of increasing admission, the Faculty of Graduate Studies seeks to hire two project persons to assist its Admission Office during the peak season of applications for graduate programs. This position will be part-time (approximately 17.5 hrs/week at a rate of $18.46/hour) for ten weeks starting on January 08, 2024 and ending on March 15, 2024.

Summary of Key Functions

Under the overall guidance and supervision of the Graduate Studies Admission and Student Tracking Officer, the position provides administrative support to review and process applications to graduate programs.

Specific Duties

  1. Reviews applications and supplemental documents for completeness and accuracy;
  2. Generates correspondence to students and responds to their inquiries;
  3. Tracks documents, organizes and maintains applicant files;
  4. Uploads completed applications onto the shared drive so that Graduate Programs can review applications;
  5. Follows up with accepted students to ensure they submit official transcripts and proof of English language proficiency (if applicable); and
  6. Tracks application numbers for programs.

Required Abilities and Dispositions

  • Highly motivated; detail-orientated;
  • Ability to work under pressure and to take responsibility in meeting deadlines;
  • Data entry experience;
  • Strong communication skills and ability to work without direct supervision.

Preferred Additional Qualities

  • Experience in the usage of computers and office software packages (MS Word, Excel, etc.) and advance knowledge of spreadsheet and database packages, experience in handling of web-based management systems.

Work-Study Communications Assistant

Please note that this is a Work-Study position. Students must apply for the Work-Study Program by the December 4 deadline in order to be considered for this position.

Under the guidance and supervision of the Graduate Studies Awards and Communications Officer, the Graduate Studies Communications Assistant supports the Faculty of Graduate Studies' efforts to promote and raise the visibility of graduate programs, news, research, and events. They act as a liaison between the Faculty of Graduate Studies and graduate programs to gather and promote graduate studies news and events. The position mainly involves the development of promotional materials (blog posts, social media posts, web copy, posters), but also requires light research on graduate programs and best practices, and administrative work such as updating forms. Though this position is in-person, a portion of the work may be done remotely. The position will be part-time (approximately 6 hours/week at $22/hour) for ten weeks beginning on January 15, 2024 and ending on March 22, 2024.

Responsibilities and Duties

  • Initiates and continues contact with graduate faculty, graduate students, and alumni for contributions to the graduate studies blog, and contributes to the development of the blog posts
  • Designs social media posts - including copy and imagery - for the promotion of graduate studies news and events
  • Assists in the development, design, and implementation of social media campaigns.
  • Posts social media content to platforms including X (Twitter), Facebook, and Instagram.
  • Collaborates with Faculty of Graduate Studies Staff to develop copy, visuals, and content for digital and printable deliverables
  • Collaborates with Grad Student Ambassadors on the promotion of graduate student events
  • Reviews the Faculty of Graduate Studies' website for accuracy and suggests improvements to the web design, including re-writing and editing web content
  • Assists with the planning and promotion of the Three-Minute Thesis Competition.

Required Qualifications

  • Ideally a returning graduate student, the candidate has a general understanding of graduate school and grad student life
  • The candidate is a strong writer and can adjust the tone and style of writing for the intended platform and audience
  • The candidate is proficient with computers and well-versed in the use of social media platforms (X, Facebook, and Instagram)
  • The candidate is outgoing and can engage with a variety of audiences in a friendly and professional manner
  • Experience using graphic design software (Canva, Adobe InDesign, Adobe Express, Figma, etc) is preferred but not required.
  • Strong organizational skills
  • Strong proofreading skills
